## Scheduler Overview

Log into the Filmbot Admin, and visit **Scheduler** from the left menu. You'll see a timeline representing your schedule. Rows represent your auditoriums, while dates and times are across the top.

### Navigating the Timeline

Scrolling while hovering over the timeline will navigate horizontally through dates and times.

The controls at the top right will allow you to zoom in and out, or jump to a specific date, which can help you navigate more quickly.

## How to Schedule a Showtime

1. Navigate to the date and time where you want to create a showtime.
2. Double-click on the timeline in the auditorium row where you want to create a showtime. The **Add new showtime** pop up will display.&#x20;
3. Fill out the showtime details:
   - If the time selection wasn’t precise, you can adjust it in the field that contains the time.
   - In the **Show** drop down, select the Movie, Program, or Special Event you are scheduling. If it doesn't appear in the dropdown initially, you can start typing the title to search for it.
   - **Display as Midnight** checkbox: when a movie is playing at 12 am or later, this is automatically checked, and the word "Midnight" will be displayed in the showtime button on your website. You can optionally customize a **Midnight Screening Note** under Settings > Theater Setup > Messaging to clarify that midnight showtimes may appear (for example) on Friday night, even though they are technically on Saturday morning.
   - If the showtime is part of a series, you can select a Series in the **Series** field.
   - The **First Run?&#x20;**&#x63;heckbox will be checked automatically if the movie was released within the last 6 months.&#x20;
   - The **Include in Comscore Nightly Grosses?** checkbox will be auto-checked based on your preference to report all showtimes by default or only First Run showtimes to Comscore under Settings > Reporting > Third Party. You can check or uncheck this box as needed.
   - Select the **Ticket Type Group** you’d like to add to this movie, or add individual **Ticket Types**. [Read more about ticket types.](docId\:eWXIovkHym6Qp6BwB7bRA)
   - If this showtime will be presented with [Open Captions](docId:0Ro8z84sHWIyEG-pQOB3S), check the **Open Captions?** box. An "OC" label will appear on the showtime button on your website.
4. Once you’ve filled out all the showtime details, press **Save**.
5. The showtime now appears on the timeline shaded yellow, which indicates that it's created, but not yet open for sale. Continue reading the next section to learn how to open it for sale.

## Change the Sale Status for Showtimes

- Select the showtimes that you're updating, using one of the following methods:
  - Select a single showtime by clicking once on it, or shift-click multiple showtimes.
  - You can also click an auditorium name on the left, or the date/time above the timeline to select all showtimes in that row or column that are currently in view.
- Click the **Open/Close** button to edit the sale status for all selected showtimes.
- Alternatively, with no showtimes selected, press the **Open/Close** button, and select a date range to apply the Sale Status to all scheduled films within that date range.
- Select the desired **Sale Status**:
  - **Open**: Open to everyone for ticket sales
  - **Open (Unlisted)**: Open for sale, but not listed publicly. If you're logged into the admin, you will see Open (Unlisted) showtimes on your website, so you can copy the checkout URL to share directly as needed.  To ensure the showtime(s) are not visible to the public, log out of the admin or open your website in an incognito window.
  - **Closed**: Not open for sale.
- Press the **Go** button to apply that **Sale Status**
- The showtime(s) will become green to show it is **Open** for sale

## Bulk Interactions and Updates

The buttons at the top left of the timeline offer the ability to update or interact with showtimes in bulk:

- **Export&#x20;**&#x77;ill allow you to select a date range and export a PDF of your showtimes.
- **Open/Close&#x20;**&#x61;llows you to update the sale status of showtimes. You can either select specific showtimes before pressing this button, or, with no showtimes selected, press the button and then select a date range.
- **Copy&#x20;**&#x70;rovides the ability to copy showtimes to another date (or to multiple dates). You can either select specific showtimes before pressing this button, or, with no showtimes selected, press the button and then select a date range to copy. If you are copying showtimes from a single date, you can select one or multiple dates to copy to. If copying a date range, you can select a single date for the start of the new range to copy to.
- **Delete** will delete any showtimes you have currently selected in the timeline.

## Showtime Color Legend

Color coding indicates the status of a showtime on the Scheduler:

- Yellow: closed for sale; showtime does not appear on your website.
- Purple: open but unlisted, the showtime does not appear, but the checkout link is available for you to provide to a select group of customers.
- Green: open for sale, showtime appears on your website.
- Gray: Showtime is designated as sold out. This can happen automatically, or you can force a showtime to display as sold out by checking the "Sold Out?" checkbox when editing the showtime on the Scheduler.

The number of tickets that have been issued for each showtime is indicated in the top right corner of the showtime's time block.
