Configuration

Configure Theater Setup Settings

The settings for your theater are located in your Dashboard at Settings > Theater Setup. You will need to be an Administrator to edit these settings.

Basic Info

Theater / Circuit Name

Name of your single theater or theater chain.

Location Name

If your theater has multiple locations, enter a short name for this location. If not, leave this blank.

Full Theater Address

Theater address to display throughout the site, found in the map link at top left, in the email footers, and on the checkout page if your theater has multiple locations.

Theater Location URL

The URL of a map to your theater used throughout the site. Could be Google Maps or other. If not set, it fallbacks to Google Maps url based on the Full Address. Found in the map link at the top left of your home page, in the email footers, and on the checkout page if your theater has multiple locations.

Street Address

The street number and street of your theater, used in your confirmation email.

Phone Number

Customer service phone number, used in the footer of emails.

Sales

General

Sales Tax Rate

If your locality collects sales tax on movie tickets, enter the rate here as an integer (ie, 5% would simply be 5). Leave blank or enter 0 if you do not pay sales tax.

Apply Sales Tax to Booking Fees

If your locality collects sales tax on booking (sometimes called "convenience") fees, check this box.

Credit Card Gateway

Should be set to Stripe.

Stripe Account

Connect Your Stripe Account. Disconnect by clicking the link below. Required before you can accept credit cards on your site.

Stripe Checkout Publishable Key

If you are Sell Products with the Stripe Checkout shortcode, and need to use a separate Stripe account for that feature, enter that account's publishable API key here. API keys can be found in your Stripe dashboard.

Donations

Notification Email Address for Donations

An email address that should be notified when a donation is made.

Enable donations in checkout

Check this box if you wish to take donations at the ticket checkout.

Donation amount

Choose the amount(s) that the donation will be for. If you enter a single amount (ie 5) there will be a checkbox where the customer can apply that specific amount as a donation. You can also specify multiple amounts separated by commas (ie, 5,10,15) which will then be available for selection at checkout, next to a freeform entry field that allows the customer to specify any amount.

Text to display on checkout

The text used to incentivize the customer to provide a donation, such as "Yes, I'd love to add a donation to support this theater!"

Gift Cards

Enable Gift Cards

Check this box to enable gift cards on the checkout form.

Gift Gateway

If you plan on configuring Gift Up! settings, you would set this to Gift Up! If you are not using Gift Up!, please speak with [email protected] about modifying this setting.

Gift Up! API Key

If you have Gift Up! configured, paste your Gift Up! API key here.

Enable Gift Up! test mode

Enable Gift Up! test mode to test the use of gift cards on your site.

Banned Customers

Email addresses banned from purchasing online

Enter a list of customer email addresses separated by line breaks. Whenever a customer submits a purchase with one of these emails, they will receive an error.

Error message for banned customers

Error message that will display on the checkout form when a customer submits an order with a banned email or card. Please limit to 1 sentence.

Miscellaneous

Disable refunding past showtimes

Check this box to hide the refund button on the Order details page, if the showtimes in the order have passed.

Disallow split payments?

This will ensure that only one payment type is applied to each item, which may be needed for sales tax reporting.

Stripe Configurations

Stripe Reader Tip Config

Enter suggested tip amounts separated by commas for percentages (ie 15, 20, 25), Fixed Amounts in cents (ie, 100, 200, 300) and/or Smart Tip Threshold in cents (ie 2500).

Website Ticketing Terms

Ticketing purchase terms that patrons must agree to during the checkout process on the website. Note: your cinema management team is responsible for maintaining their own Privacy Policy and Terms of Service for agreement by the customer, since you are the merchant with whom they are directly transacting. We recommend legal guidance to properly structure such language.

Midnight Screening Note

Note to display on midnight screenings, should include instructions on what time patrons should arrive. (This is to help prevent confusion with a screening after midnight, such as at 12:05a, that technically takes place on the next day but is considered part of the showtimes from the day before.)

Order Confirmation Text

Text to display on the order confirmation page and email. Note: this setting will apply to all ticket purchases. It can be overridden on a per-showtime basis by editing the showtime and using the Custom Confirmation Message field. Note: This will display in place of the terms on the order confirmation screen.

Ticketing Order Footer Text

Text to display below the order details on ticketing order confirmations.

Ticket Custom Message

If set, this message will appear at the bottom of every printed ticket.

Default Age Policy

Default age policy to display for all shows. It can be overridden on a per-Show basis by editing the Movie and using the Age Policy field. Note: You can also use this field to display other instructions, not necessarily age policy-related, that you would like a customer to see on the checkout page.

Ticketing

Default Ticket Type Group

Choose one of your ticket type groups. Whenever you create a new showtime via the Scheduler, this ticket type group will automatically be selected, saving you time.

Base Ticket Type

Choose your basic (i.e. Adult / General Admission) ticket type.

Pass Ticket Type

This setting is no longer used.

Showtime Bumper Time

Specify the length of your standard pre-show reels, trailers, and ads that play before all screenings. When you schedule a showtime on the Scheduler, this amount of time will automatically be added to the running time of the Show.

Ticket limit on website

Limit the number of reserved seating tickets purchased in a single transaction, or the number of tickets per ticket type for general admission showtimes. Defaults to 6 if not filled out.

QR Codes and Scanning

Enable Ticket Scanning

Check this box to enable ticket scanning for your theater using the Filmbot Ticket Scanner app.

Enable QR Codes in Order Confirmation Emails

Check this box to include a QR code in order confirmation emails.

Enable QR Codes on Printed Tickets

Check this box to include a QR code on printed tickets.

Reserved Seating

Enable Reserved Seating?

Enables the Reserved Seating function on your Filmbot site. If you wish to add a reserved seating auditorium please contact us.

Enable the showtime picker above the seat map?

Adds a showtime picker to the top of the reserved seating page for the auditorium

Block Single Empty Seat Purchases?

Prevents potential customers from leaving a single empty seat between them and another party.

Email

Email Header Image

Image used as the header in emails to customers. Minimum 600px wide. Ideally 1200px wide.

Email Header Background Color

The background color of the email header (optional).

Email From Address

Email used as the From address on emails to customers.

Promotional Email Opt-Outs

Existing Opt-outs

These addresses unsubscribed using an Unsubscribe link at the bottom of one of your emails. This list cannot be edited.

Additional Opt-outs

Add more email addresses to your promotions opt-out list. One per line.

Customer alerts

Customer email addresses for alert

Enter a list of customer email addresses separated by line breaks. You will receive an alert when an online order is placed using any of these email addresses.

Email address to send alert to

Email address where the alert will be sent.

Subject of the alert email

Subject line for the alert message you receive.

Content of the alert message

Enter a custom message for the alert email. A link to the order details will be included automatically after your message.

Box Office App

Enable Browser-based Box Office App

Check this box to enable use of the Browser-based Box Office App. It'll be available under the Sales section in your admin area. Read instructions for configuring the app.

Browser Box Office Station

This setting becomes visible once the "Enable Browser-based Box Office App" checkbox is saved. Select a box office station to associate with the browser-based box office app. Required to before the app will be enabled.

Products

Enable Products

For Filmbot use only. Check this box to enable the ability to add products to be sold in the Box Office App.

Enable Massachusetts Meals Tax features?

For Filmbot use only. This function allows Massachusetts theaters to accurately report taxes on meals versus individual items. "Disallow split payments?" must be checked on the Sales tab before you can enable this setting.

Memberships

Enable Memberships

Enables Annual Membership sales.

Memberships Notification Email

Email address to send notifications when new members sign up.

Number of days before membership term end to send renewal reminder email

You can put up to 5 numbers separated by commas to provide multiple membership renewal reminders before term end. Example: set this field to 14,7 to send a reminder 14 then 7 days before term end.

Membership Purchased Webhook

Enter a URL which can receive webhook data, and we will send Membership data to that URL whenever a membership is purchased or renewed.

Enable monthly memberships

Enables Monthly Membership sales. For Filmbot use only.
