Import Annual Members
While most Filmbot customers only need to import annual members into our system once when they're switching from a different membership platform, there may be other situations where you might need to import additional annual members. You would do this via the Annual Member Import Spreadsheet.
The Annual Member Import Template allows you to take memberships created and paid for outside of Filmbot and import them into our system. If your organization does not yet have an Annual Member Import Template link, please contact Filmbot Support and we'd be happy to provide you with one. Fill out the annual membership with the following fields for each member:

Import ID | Required | A unique code for each imported member. If you don't already have unique codes for each member, this can simply be 1, 2, 3, etc. The code can contain letters or spaces, the only requirement is that each Import ID be unique. |
Membership Plan | Required | The slug for the Filmbot Membership Plan this member is being imported into. This can be obtained via Memberships > Plans > Quick Edit. |
Expiration Date | Optional | Date that this Membership should expire. Any standard human readable date format should work. If left blank, the membership will expire 1 year from the import date. Membership will expire at 11:59 pm on that date. |
Tickets Used | Optional | Number of tickets the member had redeemed using their membership, prior to the import. Defaults to 0. The number here will be deducted from the number allowed per Membership on the Membership Plan settings. |

If you are a new customer, Filmbot will perform the initial import as part of your onboarding. In addition, please contact us if you have more than 200 members to import. However, if you are an existing customer with fewer than 200 members to import, you can do the following:
- Go to Tools > Import
- Click on "Run Importer" under Google Sheets - Annual Memberships
- Add the URL for your Annual Member Import Template and click Continue
- Click Continue
- If there are no errors, click on Start Import. If there are errors that need to be addresses, either correct them if possible, or contact Filmbot Support with questions
Please make sure the permissions on the Google Sheet are set to either:
- General access > "Anyone with the link" > Viewer
- People with access > [email protected] > Viewer (this option is more secure)
No. As long as each imported member has a unique Member ID compared with previously imported members, you can either leave previously-imported Members in the spreadsheet (they will be ignored), or you can remove previously imported members. We find that it is generally easier to leave previously-imported members in the spreadsheet so long as there are not an especially large number of members in the spreadsheet.
No, while the importer can create new memberships, it can't modify any existing memberships.
