Shows & Showtimes
- On the Scheduler, scroll to your show date and time
- Or, click the Calendar Jump to Date button to select a date
- Select on that date and time from the Scheduler row
- The Add new showtime pop up will display
- If the time selection wasn’t exact, choose the time box to edit
- In the Movie/Event drop down, start typing the movie you want to add then select it from the list.
- Display as Midnight option: when a movie is playing at midnight or later, this is automatically checked so that a note can be included with the movie that explains to your audience that even though the movie is happening technically at 12:05 the following day, it’s really happening that night.
- If the movie is part of a series, and has not already been added, you can do so directly in the Series field.
- The First Run checkbox will be checked automatically if the movie was released within the last 6 months. This ensures the film’s nightly grosses will be reported to Comscore.
- If the film is over 6 months old, the checkbox will not be automatically marked. You’ll want to follow the instructions from the distributor on whether or not you’ll need to report that movie. If yes, check the Include in Comscore Nightly Grosses? box. If not, leave it unchecked.
- Select the Ticket Type Group you’d like to add to this movie, or add individual Ticket Types. Read more about ticket types..
- If this showtime will be presented with Open Captions, check that box. Once you’ve made your selection, select Save.
- The movie now shows on your scheduler…but it’s not open for sale yet. Hop to the next step to continue!
- Select on your show's display box from the Scheduler row
- Select the Open/Close button
- Select the appropriate Sale Status:
- Open: Open to everyone for ticket sales
- Open (Unlisted): Not listed publicly as a showtime, but you can copy and email the checkout link to the group who you'd like to give access to purchase tickets.
- Closed: Not open for sales
- Select the Go button to apply that Sale Status
- The block now becomes green to show it is Open for sales
- To Open/Close multiple shows at one time, select on multiple scheduled shows then click the Open/Close button to select a status for all the films at one time.
- Or, select the Open/Close button to select a date range and apply the Sale Status to all scheduled films within that date range.
Choose Scheduler from the navigation bar

Scheduler Display | What it is | What it does |

Left of the grid | List of theater auditoriums | Your list of auditoriums will be displayed on different lines, allowing you to schedule shows in each one separately. Displays the shows that will play at a given date and time within the designated auditorium. |
The grid of times and auditoriums | Calendar view | Select on the date and time scheduler rows to set up shows on that date during that specific time. |
+/- | Time display options | Press the + (plus sign) to expand or the - (minus sign) to compress the time and date display. Expand or compress the time display to allow for minute specific scheduling. |
Calendar icon | Jump to date | Select on the calendar icon to jump to a specific date. Green dates signify days with scheduled showtimes. |
Export | Export your schedule | Select on the Export button to export a specific date range of your schedule to a PDF or CSV file. Options to View, Download or Email that file are available. |
Open/Close | The Open/Close showtimes button | Select this button to change the Sale Status of a show(s) during a specific date range to .Open, Open (Unlisted), or Closed. |
Copy | Copy showtimes to different dates | Select the Copy button to select a date range and upcoming date for shows to copy on a future date. |
Delete | Delete/trash a show | Select on the show you would like to delete, then select the Delete button to remove. |
We use color coding to indicate the status of a showtime on the Scheduler:
- Yellow: closed for sale; showtime does not appear on your website.
- Purple: open but unlisted, the showtime does not appear, but the checkout link is available for you to provide to a select group of customers.
- Green: open for sale, showtime appears on your website.
- Red diagonal stripes: some tickets have been sold (so be careful when making edits to this showtime, as there are outstanding ticket holders).
- Gray diagonal stripes: Showtime is designated as sold out. This can happen automatically, or you can force a showtime to display as sold out by checking the "Sold Out?" checkbox when editing the showtime on the Scheduler.
