The difference between publishing & scheduling a movie

Movie publication involves creating a public webpage for a movie on your website by adding all of its evergreen details including poster, trailer link etc. for convenient selection during the showtime scheduling and ticket sales process. Whether it's repertory films or new releases, you have the flexibility to publish them with or without scheduling showtimes for ticket sales.

Scheduling, on the other hand, is the act of officially slotting showtime(s) for a movie into your theater's Scheduler timetable, ensuring tickets are accessible for purchase through both your website and box office. Read more about scheduling showtimes once you're done learning about movie publication.

Ready to publish movies? Let's go!

How to publish movies

  • Choose Movies from the side navigation bar
  • Choose Add New either from the top or side
  • On the Add New Movie page, begin by typing the movie name into the Add Title field
  • A list of movies with those words will display in a dropdown below.
  • Select on the link of the movie title to import its details and assets. Then wait a few seconds for all the movie details to load.
  • While rare, if you see No Results, you can manually add your own movie details on your own.
  • You are welcome to edit any details or upload different assets to ensure the movie profile reflects your cinema's editorial voice.

These fields will need to be entered manually:

Start Date

Enter a Start Date if this Show is happening soon, but not scheduled yet. You can select whether to display the exact date it will start playing, or just the month on your Upcoming Shows page if you want your customers to know you will be screening it. Without a Start Date set, your show will not display on the Upcoming Shows template page (often titled Coming Soon) page.

Series

Assign Series here before any showtimes are scheduled. The Start Date must be set in the future for the series to appear on your web site.

You will still need to assign the series to specific showtimes once you create them.

Virtual Cinema Detail

Details about video rental.

Distributor

Choose the appropriate distributor from the dropdown menu. Adding the Distributor to a movie ensures that your movie sales are properly reported to Comscore Swift, which is automatically sent weekly for distributors to use for their billing purposes. If no distributors are displaying in the Distributor dropdown, or a specific distributor is missing, add the distributor by selecting the "add a new distributor link" which will open a new page where you only need to add the Distributor's Contact Name (Contact Email and Payment Address are not necessary). After entering the distributor name and selecting "Add New Distributor", return to the movie page and refresh it, so that you can now see the distributor name in the dropdown.

Format

The formatting of the film.

Rating

Rating of the film.

Age Policy

Entering an age into this field will override your default Age Policy, which appears on the tickets checkout page.

Upcoming Showtimes

When you add a new movie, it will show "None connected" initially because there are no showtimes scheduled for the film. Once you add showtimes, they will appear in this section.

Production Still

The Production Still and Poster will also auto-populate on the right side column. Please note they may take an extra minute to add on the page. It is recommended to wait for these to auto-populate first before proceeding with saving a movie.

Follow these steps over and over again for the movies you want to add. Note that your movies will not appear on your cinema website until you schedule and open sales for each of them.
